Operations Manager:

 

Brief description:

 

This document highlights the roles and responsibilities that should be followed by individuals within the organization to ensure effective collaboration, clear communication, and the successful achievement of organizational goals.

 

Tasks:

 

  • Team Management: Leading and supervising a team and ensuring each team member understands their role. Providing guidance, feedback, and training to enhance individuals and collective performance. 
  • Quality Assurance: Establishing and maintaining quality standards for products and services. Implementing measures to ensure consistency, compliance with regulations, and customer satisfaction. 
  • Risk Management: Identifying potential risks to operations and developing mitigation plans. Discussing with management before implementing measures to ensure business continuity and resilience to unforeseen challenges.
  • Regulatory Compliance: Staying informed about relevant laws and regulations affecting operation. Ensuring the organization’s compliance with legal requirements and industry standards. 
  • Supervising Operations: Supervising front and back of house activities, ensuring all staff on top of the operation and everyone is following their job description and are presentable, attentive, and active, Support staff in work tasks such as waiting tables if the workload is too much for the staff to handle.
  • Continuous Improvement: Promoting a culture of continuous improvement within the organization. Encouraging innovation, adapting to changing market conditions, seeking and potential opportunities for growth with confirmation from management. 
  • Product Safety: Ensuring compliance with health and safety regulations, i.e. Never serve an expired Shisha flavors and maintain the cleanliness of the workstation and the shisha products. All expired and broken products should be reported by the Outlet Managers but currently the head waiters to the Inventory Manager to be replaced. 
  • Problem Resolution: Addressing operational challenges promptly and effectively. Discussing with management solutions to enhance operational efficiency and customer satisfaction. 
  • Training Programs: Developing and implementing training programs for Shisha attendants and newly joined staff. Focusing on product knowledge customer service, and safety protocols. 
  • Maintaining positive work enviroment: Maintaining staff morale and happiness, promoting a positive work environment and healthy work conditions. 
  • Maintaining and Upkeeping: Ensuring the overall hygiene of the Shisha Lounge. Address any maintenance issues promptly to management. 
  • Staff Management: Training, and supervising Shisha attendance, servers, and support staff. Ensuring that employees adhere to service standards and providing ongoing training as needed. 
  • Shisha Lounge Operations: Managing day-to-day activities in the Shisha area, including customer service, and maintaining a welcoming atmosphere for patrons.
  • Sales Management: Ensuring that management is aware of all the daily sales reports from all outlets, any breakages of shisha products, and any incidents that occurred daily. 
  • Supervising Staff Accommodation Conditions: Making sure the staff accommodation is always clean and hygienic to prevent any chances of pest infestation. 
  • Food distribution: Food should be evenly distributed by the operations manager; each staff member will receive equal amounts of food daily. 
  • Laundry Services: The laundry from each staff member should be collected and cleaned daily to be ready for the next day. 
  • Attendance Sheet: Attendance sheet should be marked daily for every staff member and given back to Human Resource Department weekly.
