Job Description
  • Communicate and respond to Director of Facilities Management (FM) in a punctual, respectful, truthful and comprehendible manner through the use of phone calls, WhatsApp text/voice messages, and emails. Communications shall be maintained on a 24/7 basis, outside official working hours in case of emergencies.
  • Prepare memos, instructions, and other corporate correspondences for Director of FM at his behest, with prior proofreading and editing before submission. Grammatical mistakes are to be avoided or fixed prior to submission
  • Represent Director of FM as the single point of contact to maintenance supervisors, SOBH staff, and third parties, and notify Director of FM immediately in case of emergencies. In case of non-emergency updates or communications, they may be summarized and explained to Director of FM at his convenience. Ensure that all information passed on to Director of FM are accurate and investigated thoroughly beforehand
  • Coordinate and follow up with maintenance team supervisors to follow up on ongoing and planned corrective maintenance of properties (villas, warehouses, residential buildings) owned by SOBH
  • Receive, inform, and follow up with maintenance supervisors about tenant maintenance requests and complaints from real estate staff
  • Coordinate and follow up with PPM supervisor(s) to follow up on ongoing and planned periodic preventative maintenance of properties owned by SOBH and outsourced properties
  • Prepare and submit weekly status reports of the corrective and preventative maintenance jobs to Director of FM, including a summary of the status of specific jobs, whether the jobs are completed or not, and comments on obstructions that might delay the completion of the jobs.
  • Monitor and respond to WhatsApp texts/voice messages and emails pertaining to Director of FM, including notifications of service shutdowns, payment statuses, and others from the office email, governmental authorities, and other relevant third parties.
  • Arrange and prepare new or scheduled meetings and appointments as per Director of FM’s calendar, whilst simultaneously preventing schedule clashes
  • Attend meetings in the presence of or on behalf of Director of FM, whilst simultaneously recording a minute of meeting documenting the topics of discussions, comments, and breakthroughs that may occur during the meeting.
  • Notify and arrange the bi-weekly maintenance progress meetings by informing the relevant parties, namely Director of FM, FM consultant, and maintenance supervisors.
  • Assist in recruitment and appraisal of maintenance staff and supervisors
  • Plan and prepare flight tickets, hotel/ accommodation bookings, and other relevant services for Director of FM for his travel arrangements
  • To adhere to any given tasks, outside work scope, if may be required by Director of FM
